Volunteer Descriptions

PCST is filled with wonderful families who keep the Piranhas running by volunteering. Single shift signups will be available on Swimtopia in May. Volunteer Requirement: 5 regular season shifts + 1 post season shift (Prelims, League Finals, State). Stroke and Turn judge training will occur early in the season. In order to volunteer for S&T you must be trained at a SJSL hosted/provided training session by end of May. Those who commit to season-long positions don’t have to provide a volunteer deposit.

PCST VOLUNTEER POSITIONS WITH JOB DESCRIPTIONS

Each volunteer position below is considered a multiple shift towards the volunteer requirements

Volunteer Coordinators ‐ Prepares signup sheets and solicits volunteer help for all volunteer positions to be filled for home and away meets and other activities. Sends reminders to volunteers via phone/mailboxes/email. Keeps track of volunteer hours for each family. Checks volunteers in as they arrive for their shift(s). Finds replacements as necessary. (2 people – all volunteer shifts) THIS POSITION IS A 2 YEAR COMMITMENT.

Computer Tech Manager/Coordinator – Manage computer entries & all data for the home meets in a timely manner, prepare report for team members, & coordinates with the Head Coach. Provide Volunteer Coordinator with meet/team entries, heating area with meet program. (2 person ‐‐‐ all volunteer shifts). THIS POSITION IS A 2 YEAR COMMITMENT

Computer Tech Manager/Coordinator Trainee‐Work closely with the computer Tech Manager/Coordinator to provide assistance and to learn the Manager/Coordinator position (1 person— all volunteer shifts). THIS POSITION IS A 2 YEAR COMMITMENT.

Concessions Coordinators – Purchase items, stock and run the concession stand for home meets. This position requires set up prior to and clean‐up at the end of the home meets (please note the concession coordinators run the stand, there are no day shift positions for selling concessions). Coordinate with Treasurer for budget and reimbursement, and responsible for the meet cash box. (2 people— all volunteer shifts) THIS POSITION IS A 2 YEAR COMMITMENT.

Team Photographer/DVD Coordinator – The PCST photographer will take pictures throughout the season of every child on our team. This person will put together a slide show and DVD for the swim team end of season banquet and manage pre‐sale/orders of team DVD, and manage final sales on awards night. (1 person— all volunteer shifts)

Donuts Coordinator – Purchase and serve donuts to swimmers only every Monday of the swim season after each practice.

This person will need to be at the pool every Monday morning from 7:15 am to 9:45 am. (2 person ‐‐‐ all volunteer shifts)

Party Coordinators: Plan and help with the following team functions: Kickoff Barbeque party takes place during the first week of the season, Team pictures– during practice at end of June, Mile Swim Day: During practice beginning of July, poster, mile book, certificates. Team Banquet: Help with set up, cake serving/ordering for end of the year banquet. 3 people: All shifts

Home Meet Pool Evening Set Up/After Meet Take down Coordinators ‐ For all home meets (done the Friday night before the meet starting at close of pool usually 6:30pm) ‐ rope off heating area and set up heating area chairs, starting blocks, lane ropes, backstroke flags, ribbon table (by computer table) and computer table (by the starter). Check bathrooms the evening before to make sure they are clean for the next day’s meet. Organize and help with cleanup after meet. (2 person – all shifts).

Home Meet Morning Set Up and Maintenance – Arrive early to set up speakers, starter, pop up tents (ensure all is ready for the start of the meet). During the home meets, periodically check to ensure that the bathrooms are cleaned, stocked with toilet paper throughout the day of the meet. Make sure the bathroom is cleaned up at the end of the meet. (1 person, all shifts)

Spirit Committee Coordinator – Coordinate and manage Team Spirit activities which may include: Team Cheer and Motto contest, speeding tickets and prizes, and posters. Be creative, financial approval from PCST board may be necessary. (2 people— all volunteer shifts)

Tent Set‐Up/Take‐down ‐ Put up the PCST tent(s) prior to the start of all away swim meets. Take down the tents after swim meet, and put them in the storage shed. Will need to transport tent to the away meets. (1 person – all volunteer shifts‐must do all away meets including KC Invite, Gator openPrelims, League Finals and State Meets meets)

Heating area coordinator‐ Responsible for running heating area at home meets. . Assures swimmers are in correct heats, lanes. Must be available during entire home meet (will have 2 other helpers per shift). 2 person – all shifts

Meet day help/per shift—Home Meets

Runner (1-first/second) Collects time sheets from timers and delivers them to computer techs at all home meets.
Heating Area (1- first/second) Responsible for lining up swimmers in chairs in the roped off heating area in accordance with the meet events schedule. As each event gets underway, this volunteer move the lines forward toward the dive blocks. Help Heating Area Coordinator.
Events Board (1- first/second) Posts current and first / last call race event numbers as announced by starter during home meets. If away team is set up outside fence, announce first/last call via bullhorn outside gate.
Bathroom Attendant (1-first/second) Check and clean bathrooms and trash cans throughout meet (at least every twenty minutes). Counter and toilet seat wipe downs. Replace toilet paper. All supplies are located in the swim team shed.
Starter (1- first/second) Announces start of each swimming events. This position is a trained position (training sessions TBA late spring
Stroke & Turn (2- first/second) Judges swimmers to make sure no illegal strokes, turns and starts occur during swim. Follow CSSCSA rules. This position requires Stroke & Turn Clinic training in May.
Timer (7- first/second) Times each race for one lane using a stopwatch. Two to three timers are assigned to each lane to record times.

Concessions (1- first/second) Help with concessions during meet

Meet Clean up (2-second) Help with clean up at end of meet

Ribbons (1) Place stickers on ribbons/put in mail boxes on Monday, take to visiting teams

practice on Monday morning. (this is done after the meet at home)

Non-meet volunteer shifts

Shed Pre-season set up-lane ropes, take inventory (1) May

End of season clean up/inventory (1) September

Party Helpers Help with parties

Kick off BBQ-2 Set up/clean up; 2 BBQ-ers (evening)

Team Picture-2 help organize swimmers and photographers (practice)

Mile Swim Day-2 help with set up, handing out forms, poster/book signing (practice)

Banquet-2 help set up/serve cake, clean up (evening)

AWAY MEET VOLUNTEER SHIFTS
